Microsoft Teams recording or HyNote for Mac?
Use Teams' recorder when your organization needs a formal meeting video in Microsoft 365. Use HyNote when the useful output is a searchable conversation, decisions, and assigned next steps.

Microsoft says Teams transcription starts automatically when its built-in meeting recording starts. Teams also notifies everyone in the meeting and processes the recording into the organization's Microsoft 365 storage. HyNote does not use the Teams Record and transcribe control, so no HyNote account appears in the participant list. That does not override the organizer's instructions or your organization's recording policy.
Method 1: Use Microsoft Teams' built-in recorder on Mac
Start a Teams recording

Start or join the meeting in Microsoft Teams.

To finish, choose More actions > Record and transcribe > Stop recording.
Teams notifies participants when recording begins. The meeting transcript starts automatically with the recording, and the recording is processed after the meeting ends.

Find the recording and transcript
Private-meeting recordings are normally stored in the meeting organizer's OneDrive for Business. Channel-meeting recordings are stored in SharePoint.
You can also find the result in the meeting chat, calendar event, or Recap area. Guests and external attendees may need the recording to be explicitly shared with them.
Use the Teams method when:
- you need meeting video or shared-screen activity;
- the recording must be managed through Microsoft 365;
- invited colleagues need access through Teams;
- your organization controls recording access and retention.
Method 2: Record and transcribe Teams with HyNote for Mac
HyNote records the sound playing through the Mac together with the microphone you select. It creates one note containing the recording, transcript, summary, decisions, and action items.
Because HyNote runs on your Mac, it does not join Teams as another participant. You can keep using Teams while HyNote records in the background or from the Mac menu bar.
1. Install HyNote
Download and open HyNote for Mac. The app requires macOS 14 or later and supports Intel and Apple silicon Macs.

Open New Note and choose a storage location before recording:
- Cloud for synchronization, online transcription, and Online AI.
- On This Mac when the recording and note should stay in the current account directory on that Mac.
Storage and processing are separate. Choosing On This Mac does not automatically make every transcription or AI step local.
3. Allow microphone and system-audio access
Open System Settings > Privacy & Security and allow HyNote to use Microphone for your voice and Screen & System Audio Recording for the people speaking through Teams.
Apple lets users control which Mac apps may access screen and system audio. The permission name can vary slightly by macOS version, and macOS may ask you to reopen HyNote after a permission change.

4. Select Meeting Recording
In HyNote:

Confirm that the input waveform responds to sound.

Use Meeting Recording, not Voice Recording. Voice Recording captures the microphone only and normally misses the other people speaking through Teams.

5. Run a two-minute test
Connect the headphones and microphone you plan to use, then start a short Teams call. Record 20–30 seconds while both sides speak.
Stop the recording and confirm that:
- both voices are audible;
- the transcript contains both sides;
- there is no strong echo;
- names, numbers, and dates are readable.
Bluetooth headphones can change the selected Mac input after they connect. Check the microphone again before the real meeting.
6. Record and review the meeting
Tell participants that you plan to record or transcribe, then start HyNote.
Follow the live transcript when it is supported by the selected transcription mode and language, or leave HyNote running while you work in Teams. The HyNote menu bar shows the recording duration and provides pause, resume, and finish controls.
When the meeting ends, select Done. Review names, technical terms, numbers, dates, and commitments before sharing.
Open Notes to create:
- meeting minutes;
- a concise summary;
- key decisions;
- action items and owners;
- your usual meeting template.
Keep the transcript available so important details can be checked against what was actually said.

Why the Teams Start recording button may be unavailable
Common reasons include:
- you joined anonymously, as a guest, or from another organization;
- your Microsoft 365 license or administrator policy does not allow recording;
- the organizer disabled recording;
- the organizer limited recording to organizers and co-organizers;
- you are an attendee and the meeting requires a presenter role;
- another recording is already starting or active;
- a recent administrator policy change has not taken effect.
Microsoft recommends hovering over the unavailable control or lock icon because Teams may display the specific reason in a tooltip. Ask the organizer or IT administrator to change your role, meeting option, or recording policy when an official Teams recording is required. HyNote does not depend on the Teams recording button, but it should not be used to bypass a host instruction, company rule, or client agreement. Get permission before recording.
Can a Teams meeting transcript stay on your Mac?
Teams recordings and transcripts are managed through Microsoft 365. Private-meeting recordings go to the organizer's OneDrive, while channel-meeting recordings go to SharePoint.
For a local-first HyNote workflow, choose On This Mac before recording. HyNote Cloud cannot restore a deleted local note, so export or back up important local meetings.
On-device transcription depends on the Mac, macOS version, installed language models, and selected language.
The complete HyNote Local AI workflow requires an M1 or newer Apple silicon Mac, macOS 26.4 or later, Apple Intelligence enabled, downloaded system models, and supported language and regional settings.
Initial sign-in, model downloads, synchronization, online transcription, and optional Online AI features can still require an internet connection.

The recording contains only my voice
HyNote can access the microphone, but system-audio permission may be missing. Open System Settings > Privacy & Security > Screen & System Audio Recording, enable HyNote, reopen the app if requested, and test again.
The recording contains Teams but not my voice
Check the microphone selected in HyNote. AirPods, USB microphones, webcams, and docks can change the Mac input device. Speak before starting and confirm that the input waveform responds.
The transcript is empty or delayed
Check the selected transcription mode, the meeting's spoken language, the internet connection for online transcription, and whether the local language model is downloaded and ready. Match the selected transcription language to the language actually being spoken.
The meeting audio has an echo
Use headphones and confirm that Teams and HyNote use the intended microphone. Playing the meeting through speakers can feed the Teams audio back into the microphone.
Recording without a bot still requires consent
Microsoft Teams automatically notifies participants when its built-in recording or transcription starts.
HyNote does not create a Teams participant tile or activate Teams' recording notification. Clearly tell participants when you record or transcribe with HyNote.
Follow applicable law, the organizer's instructions, client agreements, employment rules, and your organization's data policy. Stop recording if permission is refused or withdrawn.

Can I record a Teams meeting on Mac for free?

Can a Teams guest record the meeting?
